Use a cover letter when sending documents to the Department of Foreigners' Affairs.

This is how many documents reach the Department of Foreign Affairs of the Mazovian Voivodeship Office in Warsaw every day, which are registered, sorted and transferred to the appropriate case files. Many of them are described incorrectly, which causes difficulties in identifying the case to which they are to be attached. This extends the time it takes to issue a decision. To streamline the process, attach a cover letter to the letters (deficiencies) you send, thanks to which the documents will be attached to the inPOL system and the case files faster.

Remember
If you are sending a power of attorney for the case, attach it as the first document after the cover letter in the attached document file.

How to properly complete a cover letter for documents?

  1. legibly, in Polish
  2. in block letters
  3. fill in all required fields according to the facts
  4. please let us know if you have provided other personal data in the past, e.g. address.

to send documents with a cover letter. The lack of information identifying the case, e.g. case reference number, first and last names or citizenship causes difficulties in assigning the document to the case.
